Job Description
Summary:

This position will be responsible for supporting members of the Legal Department, attorneys, paralegals, billing analysts, including interfacing with other departments within the company, law firms, and legal vendors.

Essential Duties and Responsibilities:
  • Daily support of attorneys, support staff, and billing analysts
  • Daily interface with the administrative team, working together to achieve departmental objectives and resolve challenges
  • Manage and coordinate attorney and support staff travel plans, calendars, meetings, telephone conferences, and events
  • Responsible for Legal Tracker matter setup, drafting related engagement letters, law firm vendor setup, coding research, and assistance with the invoice process
  • Interface directly with outside counsel hired on matters
  • Prepare and process check requests and expense reports
  • Provide administrative support for the process flow of all legal invoices, including Legal Tracker documentation, approval, and vendor payment
  • General administrative duties such as handling phones, copies, faxes, scans, mailings, service desk requests, supply orders
  • Maintenance of physical and digital records
Requirements:

Education and/or Experience, Knowledge, Skills & Abilities:

  • High school graduate or equivalent, higher degree preferred
  • 2+ years as an administrative assistant or equivalent, preferably in a legal group
  • Enthusiastic, personable, professional, and positive attitude with capability to deal directly with people
  • Solid time management skills, critical thinking capability, ability to handle multiple projects, meet deadlines, and function independently and efficiently in a fast-paced and demanding environment
  • Strong attention to detail
  • Problem solving and research skills, with ability to recognize issues and source solutions
  • Ability to communicate clearly, verbally and written
  • Excellent organizational skills and work ethic
  • Flexibility with ability to work in a team setting supporting several people, including cross training with other members of the department's administrative team
  • Functional knowledge of Microsoft Office software: Outlook, Word, Excel, PowerPoint required; experience with Adobe Pro, Visio a plus
  • Knowledge of SharePoint, Legal Tracker, Concur, SAP, OpenText, TM1, or any advanced data management or accounting software is a plus

Working Conditions:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job.

  • Usually, normal office working conditions.
  • Must be able to remain in a stationary position 50% of the time due to prolonged periods of sitting or standing.
  • Occasional overnight travel may be required.
  • Occasional visits to industrial/manufacturing settings, which may include exposure to various materials and chemicals, as well as extreme temperature conditions and loud machinery, and require appropriate personal protective equipment.
