The Opportunity

We are seeking a Client Accounting Coordinator to join our Firm. This position will be based in our Washington D.C. office (hybrid). The Client Accounting Coordinator Provides client accounting analysis and billing support to partners, prepares bills, coordinates e-billing process, and follows-up on all matters of billing and collection, e-billing, and responds to related internal inquiries. Works closely with department supervisor and staff to meet service guidelines and to identify creative approaches for accomplishing departmental goals.

  • Handles complex billing and client analysis projects.
  • Reviews information for client/matters which partners are responsible for billing and collecting (e.g. unbilled, unpaid bills, unapplied credits) and takes actions as appropriate, or records data as needed.
  • Prepares internal request forms including account receivable write offs, transfers to non-billable, etc.
  • Monitors billing system to confirm the status of billing pending matters (e.g. write offs, transfers to non-billable and specialty rates) and updates logs as appropriate.
  • Performs bi-monthly review of new matters and coordinates with partners and secretaries to obtain e-billing matter IDs.
  • Assists with the identification of new matters that require use of task codes and coordinates with Client Matter Modify to ensure mattes are properly set up in the time entry system.
  • Performs daily coordination of e-billing rejections and adjustments to invoices. Reviews, makes recommendations, and advised billers on how to respond to rejections. Follows up as required.
  • Promptly responds to all inquiries for information made by attorneys, legal assistants, and staff, including answering the Firm's billing and collection help line
  • Updates and maintains logs for billing, reminder memos and responses
  • Maintains complete and up-to-date files for each assigned partners and/or client.
  • Communicates situations as they evolve that may require Manager follow-up as well as suggesting possible solutions.
  • Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others.
  • Manages firm resources responsibly.
  • Complies with and understands firm operations, policies, and procedures.
  • Actively seeks to enhance knowledge of all Client Accounting procedures and processes
  • Performs other related duties as assigned.

Qualifications

  • Knowledge of relevant firm computer software (e.g., Aderant, Outlook, Word, Excel) with the ability to learn new software and operating systems
  • Ability to use discretion and exercise independent and sound judgment
  • Excellent analytical, troubleshooting, organizational, and planning skills
  • Demonstrates effective interpersonal and communication skills, both verbally and in writing
  • Demonstrates close attention to detail
  • Ability to handle multiple projects and shifting priorities
  • Ability to handle sensitive matters and maintain confidentiality
  • Ability to work well in a demanding and fast-paced environment
  • Flexibility to adjust hours and work the hours necessary to meet operating and business needs


Experience/Education

  • Bachelor's degree
  • Minimum of two years of related experience or an equivalent combination of education and experience
