Summary of Position

The Sr. Facilities Planner Scheduler/Facilities Planner Scheduler III is responsible for supporting the coordination of facility maintenance activities of all buildings, utilities, and equipment in a GMP regulated facility. This individual maintains documentation of all activities through the Blue Mountain Regulatory Asset Manager system to ensure compliance with regulatory requirements. This individual works collaboratively with departments, communicates maintenance activities, and responds to work requests for equipment or building repairs.

Responsibilities and Job Duties

  • Coordinates and oversees all building preventive maintenance activities and identifies, schedules and communicates the work to be performed.
  • Develops and maintains a schedule of building preventive maintenance activities for the facilities department to ensure operational needs are being met.
  • Assists the maintenance staff in the collection of documentation for all work completed internally and by vendors in the Computerized Maintenance Management System (CMMS) or paper documentation as applicable.
  • Works with the maintenance staff to ensure the work has been performed on-time and the associated work orders have been completed in a timely manner.
  • Coordinates maintenance scheduling needs with department equipment owners and communicates the schedule to staff via several reliable mechanisms and attend cross-functional department meetings to answer questions and review any complex scheduling issues.
  • Reviews calibration and maintenance work orders in the CMMS, ensuring the supporting documentation is complete and accurate.
  • Maintains service agreements and one-time service requests for the department to support building utilities, manufacturing and laboratory equipment by initiating purchase requisitions and tracking purchase orders.
  • Performs a variety of administrative tasks in the CMMS to include, but not limited to event creation, building equipment system hierarchy, or adding parts to the equipment bill of material to support the department.
  • Oversees inventory ensuring that spare parts are available when needed and parts are ordered in a timely manner to avoid disruptions.
  • Enrolls new equipment and systems by following establish procedures for procurement and enters new equipment data in the CMMS to schedule, track and document calibration and maintenance work to be performed on the new equipment.
  • Assists as needed to monitor vendors while working onsite and updates equipment logbooks for the work being performed. Reports deficiencies with maintenance and activities of equipment and recommends areas for improvement to management.
  • Responds to and provides all documentation required for quality management system deliverables, such as Change Controls, Deviations, Corrective and Preventive Actions (CAPAs) and Audit activities.
  • Maintains a safe work environment by following all safety SOPs and wearing Personal Protective Equipment (PPE) as required.

Minimum Qualifications

Facilities Scheduler Planner III

Education, Certifications and Education:

  • HS diploma and 5 years of related experience in a facilities/maintenance environment.

Or

  • Associate's degree in a related field and 4 years of related experience in a facilities/maintenance environment.

Or

  • Bachelor's degree in a related field and 3 years of related experience in a facilities/maintenance environment.

Sr. Facilities Scheduler Planner

Education, Certifications and Education:

  • HS diploma and 7 years of related experience in a facilities/maintenance environment.

Or

  • Associate's degree in a related field and 6 years of related experience in a facilities/maintenance environment

Or

  • Bachelor's degree in a related field and 4 years of related experience in a facilities/maintenance environment.

Knowledge, Skills and Abilities:

  • Must be proficient in Microsoft Office applications with the ability to use multimedia, email, spreadsheets, and database management software.
  • Ability to enter and manage data, create reports, and effectively utilize Computerized Maintenance Management Software (CMMS).
  • Ability to work with electronic quality management and documentation systems.
  • Familiar with vendor and service provider interactions and use of purchasing systems to generate requisitions.
  • Must possess strong problem solving and communication (written and verbal) skills.
  • Must possess strong interpersonal skills and work effectively as part of a team, and independently.
  • Ability to handle multiple priorities in a fast-paced environment.

Preferred Qualifications

  • Proficiency in Blue Mountain Regulatory Asset Manager preferred.
  • Proficiency in Microsoft Project and Teams preferred.
  • Basic knowledge of cGMP regulations or cGMP experience preferred.
