Unit Description:
We develop people mentally, morally, and physically and imbue them with the highest ideals of duty and loyalty, and with the core values of honor, courage, and commitment in order to commission college graduates officers who possess a basic professional background, are motivated toward careers in the service, and have a potential for future development in mind and character so as to assume the highest responsibilities of command, citizenship, and government.
Essential Job Duties
This position manages several functions directly supporting the ROTC Commanders, ROTC Staff, ROTC cadets, and the Director of Jeffrey Wright Military and Veteran Services (MVS). Additionally this position supports and works cross-functionally with other ROTC and MVS Admins to support program functions.

  • Prepares budget and monitors expenditures in accordance with regulations. Complete financial account reconciliations. The position is responsible for managing all department university accounts, providing budget oversight, preparing budgetary recommendations, monitoring spending, and managing monthly/annual reconciliation of financial accounts. The position ensures that there is adequate funds for expenditures and that state and university policies are followed with respect to spending. They will brief the supervisor monthly on budgetary status and any foreseen issues. The position is the focal point for purchasing in the department.
  • Serve as the primary administrator for the assigned ROTC Unit. This includes managing appointments, classroom facilities, and answering the main-office phone line to triage questions and direct them to the appropriate point of contact within the detachment. The position will assist with routine filing of documents, mailing/routing/receiving packages, in/out processing cadre members and other routine office duties to ensure our main office areas present a positive, professional image to students, faculty, staff and guests. The position also serves as the liaison between building managers and NC State facilities when facility issues with the ROTC spaces need to be addressed.
  • Serve as the primary University liaison with the Registrar's Office, Human Resources, Admissions, Transportation and Budget office, as well as other NCSU entities as directed by the Department Head, on appropriately related matters. The position serves as a point of continuity between the military staff and the university points of contact. The position is responsible for maintaining a list of contacts for department leadership to coordinate with and to maintain continuity using department shared drive.
  • Responsible for onboarding and off-boarding of all staff and ensuring appropriate appointments/separation dates.
  • Monitor staff and program activities for compliance with University and departmental policy.
  • Monitor and order office supplies, control university budgets, Pcard and financial reconciliation .
  • Initiate and monitor facilities support.
  • Coordinate event planning and reservations for ROTC and MVS functions as directed by the Department Head.
  • Maintain website, course catalog and manage Course Information Management.
  • Responsibility to manage (provide timeline, collate responses, ensure submission, etc) the department's annual reports.
  • Ensure university accountability and documentation of cadets successful completion of courses in order to commission appropriately post graduation.
  • Maintain open communication with ROTC cadets to ensure appropriate enrollment in courses.
Other Responsibilities
  • Coordinate with building manager and setup building access
  • As needed, represent the Department of at meetings, trainings, and information sessions to ensure the department is current and compliant with University policies and procedures
  • Assist the Department with organizing and safeguarding information
  • Assist the Department with calendar management
Qualifications

Minimum Experience/Education
Bachelor's degree; or an equivalent combination of training and experience.

All degrees must be received from appropriately accredited institutions.
Other Required Qualifications
  • Excellent verbal and written communication skills required.
  • Experience with institutional financial systems (PeopleSoft or other related software) and Excel (or related software) for querying and reporting.
  • Experience and proficiency with Google Workspace (Suite).
  • Commitment to team atmosphere and ability to work cross-functionally with other units.
Preferred Qualifications
  • Office management experience.
  • Experience and proficiency with Microsoft Office software including but not limited to MS Word and MS Excel.
  • Ability to multi-task while dealing with frequent interruptions.
  • Excellent organizational skills and keen attention to detail.
