Position Highlights The Administrative Support Assistant II will perform a variety of administrative duties, including document preparation, record keeping, supply inventory and data entry. The position will interact with clientele, both in person and over the phone. The position will also provide routine posting of financial records and support to the Business Manager.

Duties & Responsibilities

Administration:
* Screen telephone calls and visitors, referring them to the appropriate office staff or supervisor.
* Maintains calendars, prioritizing meetings and appointments.
* Create and maintain record-keeping processes and data bases.
* Arrange for facilities and services to conduct conferences, workshops or meetings.
* Gather data and prepare reports.
* Maintain and order office supplies.

Finance and Reporting:
* Produce reports, correspondence, technical documents and forms relative to business activities.
* Produce and maintain spreadsheets and databases.
* Prepare administrative forms and enter on-line functions such as p-card, staff travel, and reimbursements; working with the Business Manager to finalize processing.

Program Support:
* Enter data, produce reports and track fee payments for all programs.
* Assist with composing program documents and newsletters.
* Assist with the DCC process.
* Assist programs with planning and executing events.

Knowledge, Skills & Abilities:

  • *Knowledge of Microsoft Office software.
  • *Ability to communicate effectively.
  • *Organizational skills and attention to detail.
  • *Ability to interact and work with the public.
  • *Excellent verbal and written communication skills.
Minimum Qualifications
  • Minimum of 3 years of relevant experience, or equivalent combination of education and work experience.
  • High school diploma or equivalent, or equivalent learning attained through experience required.
